Privacy policy

Build Pro HQ (“we”, “us”, “our”) is committed to protecting your privacy. This policy explains how we collect, use, store and disclose your personal information when you use the Build Pro HQ mobile app and this website. We handle personal information in line with the Privacy Act 1988 (Cth) and the thirteen Australian Privacy Principles (APPs).

1. What we collect

We only collect the information we need to run the app. That includes:

  • Account details: your name, your email address and your initials, which we use to sign you in and to show who owns each item.
  • Job and project data: the action items, notes, project names, levels, trades, due dates and completion status that you and your team enter.
  • Photos: images you attach to action items or upload as a program. These may include pictures of a work site or a document. Please don’t upload photos of people or private information you don’t have a reason to store.
  • Basic technical data: standard information your device sends when using an app, such as app version and error logs, used to keep the app working and to fix problems.

We do not collect your location, your contacts, or any sensitive information as defined by the Privacy Act, unless you choose to put it into a note or a photo yourself.

2. How we use it

We use your information to:

  • Create and manage your account and sign you in.
  • Store and display your projects, action items, notes, program and daily list.
  • Show managers the items across their team, and show each user their own work.
  • Respond to your support requests.
  • Keep the app secure, diagnose faults and improve how it works.

We do not use your information for advertising, and we do not sell it. There is no third-party ad tracking in the app.

3. Where your data is stored

Your data is stored using Google Firebase (Firebase Authentication, Cloud Firestore and Cloud Storage), which runs on Google Cloud infrastructure. Google is our data-hosting provider and processes data on our behalf under its own security and privacy commitments. Depending on the Google Cloud region in use, some data may be stored or processed on servers located outside Australia. Where that happens, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles.

4. Who we share it with

We share personal information only where it is necessary to run the service:

  • Your team. Items, notes and photos you create are visible to other members of the same project, including managers, as that is the point of the app.
  • Google Firebase, as our hosting and infrastructure provider (see section 3).
  • Where required by law, for example in response to a valid legal request.

We do not disclose your personal information to any other third party for their own purposes.

5. Security

Access to the app requires an email and password. Data in transit is encrypted using industry-standard TLS, and data at rest is protected by Google Cloud’s security controls. Access to job data is restricted to members of the relevant project through server-side security rules. No system is ever completely secure, so we can’t guarantee absolute security, but we take reasonable steps to protect your information from misuse, loss and unauthorised access.

6. Keeping and deleting your data

We keep your personal information for as long as your account is active and for as long as we need it to provide the service. If you close your account or ask us to delete your data, we will delete or de-identify it within a reasonable period, unless we are required to keep it by law.

7. Accessing and correcting your information

You can view and edit most of your information directly in the app. You may also ask us for a copy of the personal information we hold about you, or ask us to correct it, by emailing service@buildprohq.com.au. We will respond within a reasonable time. If we can’t give you access or make a correction, we will tell you why.

8. Children

Build Pro HQ is a tool for working professionals and is not intended for children. We do not knowingly collect personal information from anyone under 16.

9. Changes to this policy

We may update this policy from time to time. When we do, we will change the “last updated” date at the top of this page. For significant changes we will take reasonable steps to let account holders know.

10. Complaints and contact

If you have a question or a complaint about how we handle your personal information, email us at service@buildprohq.com.au and we will work with you to resolve it. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
